Photo Flash lets a patron send a photo or short video from pub.ihnyc-rc.org/up for possible display in the room. DJ Mode gives an authorized operator control over review and playback.
Before uploading
Only submit media that you created or have permission to share in a public venue. Everyone visible should reasonably expect the image or video to be displayed. Do not upload sensitive, intimate, illegal, harassing, or identifying material that could put someone at risk.
A submission is not private
If approved, it can appear on a large screen in a shared room. Removing it later cannot undo photographs or recordings made by people in the venue.
Patron flow
- Choose a supported photo or short video.
- Preview it before sending.
- Confirm the submission and wait for an accepted or retry message.
- An operator normally reviews it before it enters the display queue.

Some managed events may use an operator-controlled mode that queues eligible submissions immediately. Media still passes format and safety checks, and operators can stop that mode or remove an item.
Operator responsibilities
- Keep moderation enabled unless the event has active, responsible supervision.
- Review the full preview, not only a filename or thumbnail.
- Reject content that lacks consent, violates venue policy, or creates a safety concern.
- Stop playback and remove an approved item when circumstances change.
- Treat technical request metadata as security information, not as a tool for identifying or profiling patrons.
Media preparation
The service validates the upload and creates a projector-safe version when conversion is needed. An item does not enter the ready queue until preparation succeeds. Unsupported or failed media receives an error rather than being sent directly to the display.
This boundary limits what the projector consumes without publishing the internal media pipeline or venue-control interface.
Storage and retention
The service records the media, its review state, timestamps, and ordinary request metadata used for security and troubleshooting. That metadata can include network and browser information.
Current behavior does not automatically delete an approved submission after it has been shown. Media can remain until an authorized operator explicitly removes it. Rejecting a pending submission or removing an approved one deletes the associated media from active product storage. Patrons should therefore avoid submitting anything they would not want retained as an operational record.
If something goes wrong
| Situation | What to do |
|---|---|
| Upload is rejected | Try a smaller, common photo or video format; do not repeatedly resubmit prohibited content |
| Submission stays pending | Wait for operator review; acceptance does not guarantee display time |
| Inappropriate content appears | Tell on-site staff immediately so an operator can stop and remove it |
| You need a retained submission removed | Contact the Pub operator team with enough context to locate it, without posting more personal data publicly |
